Your Mission:


A Medidata Facilities Operations Specialist is responsible for helping to ensure that the office to which he/she is assigned, and the infrastructure of that office, run at optimal efficiency. Individual must be able to work flexible hours and weekend hours, as well as overtime to support needs of the organization. Provides an elevated dimension of operational excellence across the AMERICAS portfolio aligning AMERICAS' projects and programs with DS Global Workplace standardized practices and applications. Serves as key subject matter expert, resource, and liaison between regional managers and HQ management for delivering consistent construction and renovation results. Regular engagement, communication and participation in cross-functional discussions, negotiations and meetings with the ability to drive initiatives succinctly and effectively between project managers, local and corporate stakeholders and the trades responsible for delivering design and branding implementation. Working with Portfolio Managers in pre-design analysis and forecasting of space needs for new and existing offices in the NAM and LATAM Portfolio. Oversee and support the design lifecycle for all renovations and new construction to ensure consistency in the practical creation and application of SOPs, SOWs, and facilities operations. Validates a regions proposed scope and content for space programs, fit outs, test fits and space designs (accuracy and value checks and balance system) i.e. reviewing test fits and initial schematic designs prior to Field review. Analyzes existing office conditions and making recommendations to enhance layout/operational efficiency. Maintains workplace design standards with design firm (s) and architects, which reflect the most recent industry innovations and in accordance with Dassault Systemes brands. Integrates standardized practices and applications at portfolio-level, program-level and project-level services related to Workplace Strategies Effectively negotiates with corporate designer to seek and secure timely approval of final design program. Coordinates with Global Design Team for optimizing space utilization and to ensure programmatic priorities and corporate design requirements have been applied in all projects. Project Management Participation:Participate in all new construction, restacking, and refresh AMERICAS projects Consults and collaborates cross-functionally with multiple levels of management, presenting information and responding to questions from managers, customers, vendors and contractors. Participates in discussions with local and senior stakeholders related to Workplace Strategies for innovative, physical office environments that support technology-enabled, flexible work styles. Drive usage of DS ENOVIA Project database for all projects developing timelines and deliverables with Regional Managers for design and branding and site opening procedures. Gathers and provides regular field design and branding updates to WW designer/architect, offers guidance and support for project completion materials, including final design deck, dashboard postings and announcements, and AMERICAS’ dashboard finalization for each project completed. Memorializes all finished projects design content within a dedicated AMERICAS dashboard to ensure decisions and updates are communicated and posted to internal dashboards in a professional, uniform and timely manner. Facilities Operations: Supports the 3DS BOSTON office in all facets of Facilities management. Specific functions in this role include property owner and other vendor management, the development and management of a facilities management recurring-task list for this site. Supports the AMERICAS with project management support for significant projects across the Region. COVID-19 pandemic support: Closing, Cleaning, and Re-Opening of Dassault Systemes offices across the Central Region. Includes attending weekly calls with the DS Crisis Management Team, and Communications with DS stakeholders and vendors across the Region. Operational responsibility for the 3DS BOSTON site include providing facilities operations oversight, insuring that preventative maintenance is carried out timely, vendor management, and other operational functions as required. Development training, including improving knowledge of the 3DS Platform, Facility Management Professional (FMP), training in ENOVIA Project Tools. Participate in all AMERICAS New Construction, Restacking, and Refresh projects, with support on project process and communications. All aspects of Customer Service for DS internal customers. Proficiency in Google Apps (Gmail, Office Apps) and Microsoft Office Suite Dependable, punctual, follows instructions, responds to management direction and solicits feedback to improve performance Ability to work independently and proactively; demonstrates initiative Ability to make professional decisions based in accumulated knowledge of position responsibilities Demonstrates accuracy and thoroughness; monitors own work to ensure quality Ability to multi-task effectively Strong interpersonal skills, ability to work in a team environment when required; high degree of tact Commitment to excellence Your Education & Experience: Prior experience in a construction company, or corporate services/facilities department Experience with light repair and maintenance, processes and procedures required Proficient in Word, Excel and email Professional in demeanor, and appearance Strong communication skills required Exceptional telephone and interpersonal skills Typically requires up to 2-4 years of related experience.
